IFGS DENVER/BOULDER CHAPTER BOARD MEETING MINUTES
4/21/2002
DRAFT FOR APPROVAL

The board meeting was called to order at 12:20 p.m. Present were Charlie Abrams-Flohr, Michelle Christian, David McMillen and Ray Michel, Board members. Also present were Kathy Frazier, Dan Frazier, Brett Paul, Dana Harrod, Lori Abrams-Flohr, Jeremy Hardiman, Vanessa Michel and Lynette Minor. John Edwards' proxy was held by Charlie Abrams-Flohr.

MINUTES OF LAST MEETING: Minutes of the 3-17-02 meeting were read and approved (Christian, McMillen, 5-0-0).

TREASURY COMMITTEE REPORT: Totals for the Awards Banquet event haven't yet been completed. We need to discuss funding for a hard-copy mailed chapter newsletter.

REGISTRY COMMITTEE REPORT: Unfortunately, Richard Michel does not have the available time to continue to fill the role of Registry Chair. Michelle Christian is willing to reassume that role, with Richard assisting as time allows. Her reappointment is accepted by the board.

SAFETY COMMITTEE REPORT: No report.

QUARTERMASTER COMMITTEE REPORT: The props trailer has been pronounced unsalvageable by a trailer repair expert, and the props need to be moved out of it to Pat's house. We'll attempt to combine moving stuff from the trailer with the the work already scheduled at Pat's house.

AWARDS BANQUET/GAME REPORT: Although we don't have a final headcount yet, there were lots of familiar and new faces at the event. Budget hasn't been completed yet, but all signs point to coming in just under budget. Michelle Christian, as the Registry chair for the awards season, reported that there was a discrepancy in the awards. One award was given to an extra recipient. After discussion, the board agreed that no action should be taken in this case. We resolved to check and double-check in the future to ensure accuracy.

SANCTIONING COMMITTEE REPORT: The game "One of Those Days", which had been scheduled to run on June 29 & 30, has been pulled from the schedule by the production team. There are other possible changes to the game calendar, which will be finalized by the Sanctioning Committee and the Game Designers.

PRESTIGE POINTS: A partial proposal was submitted by Art Jeane, but as it's missing several key sections we decided to table it until it's complete. Charlie & David will work to finalize the proposal.

COMMUNICATION: Dan Frazier expressed a willingness to take on the role of Melee editor. He expressed the need for regular reports/columns from the board and committee heads, and listed out several other ideas he has for the newsletter. The board gratefully appointed Dan the editor of the Melee for at least one year, and again expressed gratitude to Brian Booker for his years of editing the newsletter. We'd like to publish 8 issues per year, but the current budget won't allow it. Using the success of the "sponsored" programs for the awards banquet, we created the following table of advertising rates: 1/8 page - $15 for one issue / $100 for one year 1/4 page - $25 for one issue / $175 for one year 1/2 page - $45 for one issue / $300 for one year full page - $75 for one issue / $500 for one year (IFGS game advertising is free).

MOTION: To use this schedule of advertising rates beginning with the next issue of the Melee. (Christian, McMillen, 5-0-0).

MOTION: First Approval Mortgage Company, in exchange for providing paper & photocopying of the newsletter at no charge, be given a $100 annual credit for advertising. (Christian, Michel, 4-0-1).

PR COMMITTEE: David and Charlie have agreed to share the responsibilities of heading this committee until a volunteer can be found. David Ellis and Dana Harrod are still willing to assist this committee.

JOB DESCRIPTIONS: No update.

LOST AND FOUND: Brett Paul and Dana Harrod have been managing the chapter's lost and found items, but feel that a policy needs to be defined for what happens to unclaimed items, and how long items should be held before being called unclaimed. One concern is that there are some very nice items currently unclaimed. They maintain a website with digital photos of the items, and publish the URL to the IFGS newsgroups frequently. Items are also frequently displayed at D/B games.

MOTION: After items have been sufficiently advertised on the website and at D/B games (as determined by the volunteer Lost and Found coordinator), unclaimed items will (if appropriate) be auctioned off to the membership at the next Awards Banquet. (Michel, Christian, 5-0-0).

The meeting was adjourned at 3:05 p.m.
